Shopify purchase order instructions buyers can follow

Give school buyers one clear next step. Copy the checkout note and the matching after-checkout instructions, then replace the placeholders before activating your manual PO payment method.

Use this short note to explain who should select the Purchase Order payment option.

For approved school and public-sector purchases. Select Purchase Order only if your organization will pay by an approved purchase order. Your order will remain unpaid while payment is arranged.

Payment instructions · email intake

Use this version when your team collects the buyer’s PDF by email.

Your order is awaiting payment. Email your school- or agency-issued purchase order PDF to [PO INBOX] and include order [ORDER NUMBER] in the subject. We will review the document and follow up about payment and fulfillment. Sending a PO PDF does not pay the order.

Use this version only after an order-linked upload block is installed and tested on your store.

Your order is awaiting payment. Upload your school- or agency-issued purchase order PDF using the upload section on this page, and confirm it belongs to order [ORDER NUMBER]. If the upload is unavailable, email the PDF to [PO INBOX]. We will review it and follow up about payment and fulfillment. Sending a PO PDF does not pay the order.

Before you activate the payment method

  1. Replace [PO INBOX] with an inbox your team monitors and [ORDER NUMBER] with the order-number wording buyers see.
  2. In Shopify Admin, use Settings → Payments → Manual payment methods to add a custom method named Purchase Order. Paste the checkout note in Additional details and the matching text in Payment instructions.
  3. Place a PO test order and a separate card order. Confirm the instructions are clear, the PDF stays with the right order, and the card order does not get a PO request.

Shopify marks manual-payment orders unpaid until you record that payment was received. A purchase order PDF is not proof of payment. See Shopify’s manual payment instructions, the school PO setup guide, and the free PO upload test checklist.
